Digital Charting and incident logging - understanding and usage
Digital Charting replaces paper care charts with one place to record feedings, medications, exercise, incidents, and custom details like weight or mood. It helps your team keep care records organized, stay informed about each pet, and see which incidents need follow-up.
Note: Digital Charting is an add-on, and not every business has it. If you don't see a Digital Charting menu, your business doesn't have it turned on. Contact Kennel Connection to ask about adding it.
What's included
The Digital Charting menu has two pages:
- Service Delivery: the daily care checklist. See "Record services with Service Delivery".
- Service Delivery Settings: setup for administrators and managers.
Each pet's record also has a Service Delivery tab showing that pet's Active Services.
Log an incident
- Go to Digital Charting > Service Delivery and find the pet.
- Click Log New Incident.
- Choose the Incident Type, for example Injury, Illness Symptoms, Behavioral Concern, Pet Altercation, Medication Issue, or Feeding Issue.
- Type what happened in Notes.
- Set Action Needed (None, Needs Review, or Notify Client) and, if needed, the Employee to Tag for Review Responsibility.
- Choose a Status (Blank, Finalized, or Needs Attention) and the Employee Reporting.
- Click Save.
To review incidents, open the Incidents tab and choose Pets with Incidents, Action Required, or All Pets Scheduled. Click Edit (the pencil) to update an incident.
Note: Delete Incident permanently removes the incident. Staff can only delete an incident within a few minutes of logging it. Administrators and managers can delete incidents at any time.
Record pet properties
Pet properties are custom details your business wants to track, like weight or energy level.
- Open the Log Data tab on the Service Delivery page.
- On the pet's card, click the actions button (three dots) and choose Log followed by the property name.
- Fill in the details and save.
The saved entries show as tags on the pet's card.
Set up Digital Charting (administrators and managers)
Only administrators and managers can open Digital Charting > Service Delivery Settings. For Feeding, Medication, and Exercise you can:
- Set when Morning, Afternoon, and Evening start and end.
- Tick Auto mark done if required fields exist and all required fields are filled.
- Tick Auto select tab based on time of day.
- Add fields staff fill in when they do the task. Each field can be a single line of text, multiple lines of text, a Yes/No choice, a number, or a drop-down list, and can be marked Required.
Click Save Settings when you're done.
To choose which pet properties show on the Log Data tab, go to Administration > Set-up > Lists > Pet Properties Lists, open the property, and tick Add to digital charting.
Common questions
The Log Data tab says no custom properties are set up. An administrator needs to create pet properties and tick Add to digital charting on them.
Can I see a pet's past charting? The pet's Service Delivery tab has a History area, which is still being built and says "History coming soon."
Who can change the time-of-day settings? Only administrators and managers.
